Yacht Agent vs Yacht Concierge in Indonesia: Who Does What (and When You Need Both)

A yacht agent and a yacht concierge do different jobs, and in Indonesia the difference matters more than in most cruising grounds. The agent manages the vessel’s formal existence: clearance, the online Vessel Declaration that replaced the old CAIT permit, CIQP formalities, and sailing approval between ports. The concierge manages what people on board experience: provisioning, berths, crew shore support, and arrival handling for owners and guests flying into Bali. A brief technical port call with no guests may need only an agent. The moment guests join or the boat stages for Komodo or Raja Ampat, both roles need one call sheet: the agent controls when officials board and the vessel is free to move, and the concierge controls everything around those windows.

What a Yacht Agent Does in Indonesia

An agent represents the vessel to the Indonesian state; the client is the boat’s legal standing, not the guest experience. Foreign-flagged yachts clear in at designated ports; Benoa in Bali is one of the busiest gateways for boats working toward Komodo. The old CAIT permit has given way to an online Vessel Declaration lodged before arrival, but the paperwork around it has not disappeared: crew lists, ports of call, the customs declaration, and immigration processing for everyone aboard. Just as important, Indonesia requires a port clearance, the harbourmaster’s sailing approval (Surat Persetujuan Berlayar), each time a vessel departs one port for another. The agent obtains it, handles port dues, coordinates berthing with the syahbandar, and arranges bunkering approvals where fuel touches customs questions.

What a Yacht Concierge Does

A concierge desk works the other side of the same visit: the experience of the owner, the charter guests, and the crew, the parts no government office cares about but every guest remembers. In practice that means provisioning sourced in Bali and staged for Labuan Bajo, berths matched to the boat’s draft and the guests’ plans, and crew shore support in Bali: laundry, medical appointments, accommodation, and day-off logistics, so the crew arrives at charter start rested rather than ragged. It also means airport handling at Ngurah Rai, ground transport that meets the tender, itinerary work for Komodo and Raja Ampat legs, and the small purchases that fill the gap between “cleared in” and “ready for guests.”

When You Genuinely Need Both

First entry into Indonesia. Clearing in at Benoa involves several agencies whose boarding times are not fully in your control. If guests fly in the same day, someone has to sequence immigration processing, customs boarding, provisioning delivery, and the guests’ transfer so none collide. The agent cannot manage the florist and the concierge cannot manage the customs officer; both are needed inside the same window.

Charter turnaround between Komodo legs. A turnaround day compresses disembarkation, crew rest, provisioning, fuel, laundry, and often a port clearance for the next leg into 24 to 48 hours. The agent holds the regulatory path; the concierge holds everything else, and the two only interlock off one sheet.

Before arrival, agent and concierge agree a single shared document: ETA and berth, the boarding window, provisioning slots, guest movement times, and the target clearance-out time.
